Re-engineering of an Excel solution

SIK was looking for a competent partner who would take over the development of a management tool for tenders based on MS Excel. The project was a re-factoring and re-design of an existing tool. The aim was to improve the user experience for municipalities and suppliers.

Efficiency through redesign

In a first step, soxes familiarised itself with all the regulations and specifications regarding tenders in order to understand the process. Subsequently, the necessary VBA macros were developed and the Excel programme was redesigned to guide the user more efficiently through the tender process.

How it works

The user can use the tool to select the required vehicle type and define how the individual offer details are weighted. Using a customisable point system, categories such as price, delivery time or maintainability can be weighted according to their importance. Based on the vehicle type, the user can define technical specifications. When this specification is completed, individual data sheets can be exported for the added suppliers. Once a supplier has completed the datasheet, it can be imported back into the main Excel files for the municipality to view and efficiently evaluate. At the end of the process, the tool calculates a score for each supplier based on the technical evaluation and the weightings given to the categories. This procedure ensures a fair and transparent evaluation process.

Shared success through transparency

soxes was able to offer SIK a flexible cooperation. A cost ceiling for the project was agreed in advance. In addition, the requirements and their implementation were worked out together step by step until an operational version of the application was completed. soxes communicated expected efforts and costs for new requirements transparently, which enabled SIK to make well-considered decisions about requirement implementations.
